1. PRIVACY POLICY
The Civil Registry and Migration Department (hereinafter referred to as “CRMD”), with the present data protection privacy policy, would like to inform about the personal data it processes, the aim of the processing, the measures taken to protect personal data, the rights of Cypriot citizens, EU citizens and third-country nationals.

CRMD is bound by the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016, which has been transposed into the national Law (Law 125 (I)/ 2018) on the Protection of Individuals with regard to the processing of personal data and on the free movement of such data.

2. WHAT IS PERSONAL DATA
Personal data is any information that refers to a natural person/ individual who is alive and whose identity is known or can be ascertained directly or indirectly, in particular on the basis of an identity number or on the basis of one or more specific elements identifying his being.

More specifically, for Cypriot citizens, EU citizens and third-country nationals personal data is:

For Cypriot citizens:

    1. Identity Card Number
    2. Passport Number
    3. Election Booklet
    4. Name and Surname
    5. Date of Birth
    6. Date of Death
    7. Place of Birth
    8. Nationality
    9. Community
    10. Official and postal address
    11. Contact information
    12. Marital status
    13. Name, Surname and Identity card numbers of parents

For EU and third-country nationals:
    1. Alien Registration Number
    2. Passport Number
    3. Name and Surname
    4. Date of Birth
    5. Place of birth
    6. Nationality
    7. Postal address
    8. Contact information

3. AIM OF PROCESSING AND USE OF PERSONAL DATA
CRMD processes the personal data at its disposal, exclusively for the exercise of its powers/ duties/ responsibilities and the implementation of its mission in relation to the current legislation.

Personal data are kept only for the duration required tο complete the purpose for which they were collected and are destroyed within defined time frames, which are determined in collaboration with the State Archive and / or sent to the State Archive.

4. THE RIGHTS OF INDIVIDUALS
The individuals, subject to the restrictions provided by the current legal framework for the protection of personal data, have the right to information and access to their personal data, the right to correct the data concerning them and the right to request their deletion.

If the individuals wish to exercise their legal rights or have any question regarding the processing of their personal data, they can contact the CRMD (see the contact details listed below).

5. ACCESS TO PERSONAL DATA AND TRANSFER TO THIRD PARTIES
In specific cases/ situations, CRMD collaborates with external partners to carry out the processing of personal data, based on the relevant legislation. These external partners are bound by a legal act or contract, which ensures that ppersonal data are protected, as defined by the relevant legislation. CRMD does not transfer or disclose personal data to third parties, unless provided by law i.e. in order to fulfill its responsibilities or if this is required for complying with any law in force or court decision.

6. SAFEGUARDING PERSONAL DATA
For the protection of personal data, CRMD takes all the appropriate technical and organizational measures to ensure confidentiality, integrity and availability. The personal data being processed are kept in digital and written form, stored in a secure environment within the CRMD, encrypted and stored in a secure database. In both cases, access is only available to CRMD authorized personnel.
